From decision to operation

QuickBooks + HubSpot: build the sales-to-finance handoff

Agree the invoice boundary before moving customer or deal data.

Before you build

What you’re working toward.

An approved sales-to-finance handoff with traceable customer and invoice relationships.

Have these inputs ready

  • Finance-approved invoice ownership and customer-matching rules.
  • Customer identifiers, product mapping, and representative invoice scenarios.
  • A safe test process that avoids sending unintended customer invoices or emails.
Stage 01

Separate commercial stages

A won deal, an issued invoice, and a paid invoice are different events. Define what should create an accounting record and who approves the handoff.

  1. Define the handoff that authorizes invoice creation: for example, a won deal plus an approved billing contact and completed commercial details. Do not treat a stage change alone as authorization.
  2. Choose where each invoice originates and where edits are made. Record how quotes, invoices, payments, and credits differ in your operating process.
Leave this stage with

An invoice-creation and edit-ownership contract approved by finance.

Stage 02

Map the customer carefully

Agree legal entity, billing contacts, addresses, line items, tax treatment, and currency with finance. Use durable IDs and a duplicate-resolution process. Confirm the connector and accounting edition support the intended records.

  1. Match the legal billing customer, not merely the selling account name. Preserve the external customer ID and check subsidiaries, shared billing contacts, and duplicate names.
  2. Map the products and required invoice fields using real examples. Confirm the selected integration supports the tax, currency, and line-item cases the business uses.
Leave this stage with

A customer and invoice-field mapping with unresolved cases held for review.

Stage 03

Test exceptions with finance

Walk through a changed invoice, credit, partial payment, cancellation, and duplicate customer. Decide which system owns corrections. Keep permissions appropriate to financial data.

  1. Rehearse an ordinary invoice, a partial payment, a credit, a void or cancellation, and a changed customer. Finance should inspect the resulting records on both sides.
  2. Verify edit restrictions and notification settings before testing. Record which system must make each correction; do not assume a failed sync can be fixed by editing either copy.
Leave this stage with

A finance-approved scenario log and correction procedure.

Stage 04

Monitor reconciliation

Assign an owner to rejected records and mismatched totals. Reconcile sample invoices and customer balances after changes. Document the limits of the integration so sales does not mistake an operational view for the financial ledger.

  1. Reconcile the test population by invoice ID, customer ID, status, amount, and currency at a known time. Separate a sync delay from a wrong mapping or unsupported operation.
  2. Assign the exception queue and document how processing fees and other entries outside the connector’s automation are handled by finance.
Leave this stage with

A reconciliation routine with ownership for sync and accounting exceptions.

Worked example

An invoice handoff gate

Illustrative minimum checks before a CRM event is allowed to create billing work.

CheckCustomer match
Pass conditionOne approved legal billing customer ID
If it failsFinance resolves the match
CheckInvoice details
Pass conditionApproved products, amounts, and billing contact
If it failsReturn to the commercial owner
CheckExisting invoice
Pass conditionNo duplicate for the same authorized billing event
If it failsReview the existing invoice before retrying
Acceptance checklist

Know when the work is ready.

Use these checks in the handover. Keep evidence of the result and assign an owner to anything that still fails.

  • Finance approves the ordinary and exception invoice scenarios.
  • The same billing event cannot create duplicate invoices.
  • Unsupported edits route to an owner instead of silently diverging.
  • Invoice totals and statuses reconcile for the defined population and currency basis.
Common failure modes

Catch the problems early.

A closed deal is not the same as a paid invoice

Keep the commercial milestone, invoice status, and cash receipt separate so a collection issue does not distort sales reporting.

Assuming all invoice edits are symmetric

HubSpot documents restrictions on editing HubSpot-created invoices in QuickBooks Online. Choose the correction path before a user encounters a failed sync.

Connect HubSpot and QuickBooks Online

HubSpot documents invoice-edit restrictions and notes that payment-processing fees do not automatically create accounting expenses in QuickBooks Online. Include those gaps in the finance handoff.
