Unreliable CRM data
Inconsistent records across teams made the system difficult to trust.

A foundation-first rebuild that restored confidence in CRM data, attribution, lifecycle management, and leadership reporting.
01 · Context
Patrick Accounting is a multi-brand accounting and payroll firm growing through outbound sales, referrals, and relationship-led revenue. Multiple brands share one HubSpot Enterprise portal, alongside a high volume of prospecting, imports, and ongoing customer engagement.
As the business scaled, years of organic growth, changing processes, and team transitions quietly eroded confidence in the system. Patrick Accounting did not need another CRM. Leadership needed to trust the one they already had.
02 · Pressure
The portal reflected years of well-intentioned but unstandardized growth. Reporting required guesswork, attribution was unclear, and leadership could not answer basic questions about what was working.
Inconsistent records across teams made the system difficult to trust.
Lifecycle stages and lead statuses were applied inconsistently across the buyer journey.
More than 28 lead-source values had accumulated without one reportable model.
Sales activity was happening, but leadership lacked one view of progression and follow-through.
03 · What Hubjoy built
Hubjoy proposed a phased engagement that began with a full audit, moved through a controlled foundation rebuild and cleanup, and finished with practical reporting enablement.
Separated lifecycle stage from lead status, implemented system-driven progression, standardized source architecture, and added UTM tracking across active forms and CTAs.
Normalized job titles across tens of thousands of contacts, identified low-relevance records, and supported controlled deletion without erasing useful history.
Audited forms, landing pages, and lists; archived unused assets; consolidated redundant forms; and restored consistent campaign capture.
Built dashboards for deal activity, progression, task and meeting follow-through, and data completeness across deals and contacts.
Created a stable foundation for better investment decisions, subscription optimization, and the firm’s next phase of growth.
04 · Results
Inactive and low-value records were removed through a controlled process.
Job titles and critical fields were standardized to improve ICP accuracy.
Every new submission now captures source, medium, and campaign data.
Decision-makers gained visibility into activity, follow-through, and completeness.
Lifecycle stages and lead statuses are now consistent and enforceable.
The portal became a reliable source of insight instead of just a system of record.
Hubjoy transformed Patrick Accounting’s HubSpot portal from an unreliable system of record into a stable revenue operations platform. The rebuild paired technical precision with transparent decisions about what historical data could—and could not—support.
Leadership now enters the next phase of growth with clearer attribution, stronger sales visibility, and a HubSpot environment designed to scale with the firm.
“Hubjoy helped us turn HubSpot into a system we can finally trust. We now have clarity across our reporting, confidence in our numbers, and real visibility into what’s driving results.”
